Job Title: Senior Admin Asst Division/Department Administration

SUMMARY OF RESPONSIBILITIES

Provides general office support with a variety of clerical activities and related tasks. The Senior Administrative Assistant will perform a variety of administrative and clerical tasks. Duties of the Senior Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Supporting designated partner with various duties.

Must be able to work a flexible schedule which includes 55+ hours a week during tax season

KEY COMPETENCIES:

  • Assigned to designated partner and manager to assist in their scheduling, contacting clients and misc. tasks
  • Taking and recording minutes for committee and manager meetings
  • Preparation and drafting of formal letters and forms as needed by partners and managers
  • Reviewing and assembling tax returns and amended tax returns
  • Upload tax returns for client electronic signature using Sharefile and RightSignature
  • Scan, organize, and bookmark client documents
  • Scan misc. items
  • Answer client phone calls and emails daily
  • Provide support and backup for the front desk
  • Attend to client requests including sending prior year tax returns and workpapers
  • Track and contact clients for e-file forms and workpapers
  • E-Filing for designated partner
  • Preparing and completing billing for designated partner and email/mail invoices to clients
  • Entering client expenses for billing purposes
  • Reconciling and printing reports for daily deposit
  • Generating any reports needed by staff
  • Managing client collections – reach out to clients and send statements weekly
  • Scheduling meetings and continuing education seminars

 

  • KNOWLEDGE AND SKILLS REQUIREMENTS:
  • Familiar with Accounting related software, to include CCH Axcess, Lacerte & CCH Paper Stream
  • Working knowledge of Microsoft Office Suite
  • Excellent oral and written communication skills
